Early access — the operational core is live

Your owners shouldn't find out after the money is spent.

PropSteward is property management software built around one idea: every dollar spent on a building should be traceable back to the decision that caused it — and the building should remember what it already cost you.

Built by a property management company, for property management companies.

The interaction we are building for

One click, from a number to the reason behind it.

Most software can tell an owner what they were charged. Very little can tell them why, without somebody digging through email. This chain is the product.

01$940.00

A line on the monthly statement.

02

The work order behind it — with the photos taken before anyone started.

03

The bids that came in, and what each contractor actually quoted.

04

The approval — the one the owner gave themselves.

05

The invoice and the after photos. Nothing left to ask about.

Why we started

Two problems worth building a company around.

Owners cannot see what is happening

Reporting changes shape month to month and is hard to follow. Owners learn about spending after it has already happened, which is exactly the wrong order. Trust erodes quietly, then all at once.

Buildings forget what they cost you

Institutional knowledge lives in people's heads and old email. So money gets spent on repairs that were still under warranty, and capital expenses that were always coming arrive as surprises.

Live today

The operational core, shipped.

This is what exists and runs — not a roadmap. Money still lives in your existing system while the ledger earns its trust.

Portfolio model

Properties, buildings and units, with ownership entities, dated ownership stakes and management agreements.

Asset & warranty registry

What is installed, when it was installed, what it is still covered by — and what that coverage has saved.

Work orders

The full lifecycle, with warranty flagging at the moment the work is raised rather than after the invoice.

Contractor bidding

Invite vendors, collect bids through a contractor portal, and award one. Bids stay blind to competitors.

Insurance tracking

Certificates of insurance per vendor, with expiry surfaced before the certificate lapses, not after.

Property timeline

An append-only history of what happened to a property, scoped so each audience sees only their part of it.

Documents

Private storage with short-lived signed access. No public buckets, no permanent URLs.

Tenants & leases

Tenancies, lease terms and the people on them, modelled properly rather than as free text.

Real tenant isolation

Every row is scoped to an organisation and enforced in the database itself, with a test suite that exists to try to break it.

What comes next

Built in stages that each stand on their own.

Full-featured property management is a multi-year build, and pretending otherwise is how these projects fail. Every stage below is a place it would be reasonable to stop.

Want to see it?

We are onboarding a small number of property management companies while the financial core is built. If that is you, get in touch and we will show you the real thing.
